Waste Audit Documentation Checklist: What Auditors Actually Need

May 13, 2026 · 7 min read · waste

We've spoken to dozens of zero waste auditors. The number one reason audits stall isn't a low diversion rate — it's incomplete documentation. Auditors can't certify what they can't verify.

This checklist covers exactly what you need to prepare, organised by what auditors look for first.

The Non-Negotiables (Every Standard Requires These)

Every zero waste certification standard — UL 2799, TRUE, and Zero Waste Scotland — requires the following documentation as a baseline:

  • Complete waste hauler invoices for the full audit period (12 months)
  • Weight data for every waste stream in kg or tonnes
  • Waste stream classification (material type + diversion method)
  • Diversion rate calculation with methodology
  • Evidence of diversion for each stream (recycling certificates, compost receipts)
  • Facility waste map showing all collection points
  • List of all waste service providers with contract details

UL 2799 — Additional Requirements

Beyond the baseline, UL 2799 requires:

  • Waste generation data normalised by production output (e.g., kg waste per unit manufactured)
  • Documentation of any waste-to-energy streams (allowed but must be separately reported)
  • Evidence of continuous improvement efforts year-over-year
  • Hazardous waste manifests and treatment certificates

TRUE — Additional Requirements

TRUE certification requires several behavioural and systemic elements beyond raw data:

  • Zero waste policy signed by senior leadership
  • Staff training records (waste sorting, contamination prevention)
  • Upstream management evidence (supplier engagement on packaging reduction)
  • Innovation documentation (new diversion methods implemented)
  • Closed-loop examples (materials returned to supply chain)

What Auditors Actually Look At First

Based on conversations with certified auditors, here's their review order:

  1. Invoice completeness — are there gaps? Missing months? Haulers not accounted for?
  2. Weight reconciliation — do the numbers in your ledger match the numbers on the invoices?
  3. Classification accuracy — is "general waste" correctly classified as landfill, not diversion?
  4. Downstream evidence — can you prove the recycler actually recycled it?
  5. Calculation methodology — is the formula correct and consistently applied?

The Chain of Custody Problem

The hardest requirement to meet manually is traceability. For every number in your waste ledger, the auditor should be able to ask "where did this come from?" and get a clear answer pointing to a specific invoice, line item, and date.

With 200+ invoices across multiple haulers, maintaining this chain manually in a spreadsheet is error-prone and time-consuming. One transposition error can trigger a full re-audit of that waste stream.

How ZeroDocPro Handles This

ZeroDocPro builds the chain of custody automatically:

  • Sheet 1 — Summary: Diversion rate and certification pass/fail
  • Sheet 2 — Raw Extraction: Verbatim data from every invoice with confidence scores
  • Sheet 3 — Waste Ledger: Classified waste streams with hierarchy levels
  • Sheet 4 — Calculations: Live Excel formulas (change a value, totals update)
  • Sheet 5 — Lineage: Full audit trail — every rule applied, every transformation
  • Sheet 6 — File Manifest: SHA-256 hashes of every source invoice (tamper-evident)

The auditor gets a single Excel file that answers every question they could ask — with cryptographic proof that no invoice was altered after submission.
